6       PROVISION OF FOOD AT COUNCIL MEETINGS

 

Following a request from the Chair, spokes and Executive Councillor of Community Development & Leisure Committee, Civic Affairs Committee is asked to consider the matter of providing food at committee meetings, against the option of members providing their own.

 

Food is provided for members (and other attendees depending on the meeting) at Full Council and Planning Committee as a matter of course.  Food has also more often than not been provided at Environment Committee over the last three years because of the length of meetings and that the meetings straddle the morning and afternoon.  Food has also been provided when there have been back to back meetings in the late afternoon/early evening.  Requests made by members to the Committee Manager for food to be provided at any Committee have been considered by the Chair. All Members have access to unlimited hot and cold drinks from the vending machines.

 

Civic Affairs Committee has two options:

 

(i) That food should be provided on request if the circumstances warrant it and that the request must be agreed by the Chair of the Scrutiny Committee (similar to the current arrangements).   Full Council and Planning Committee would continue to have food provided.

 

(ii) That food is provided as above but that in preparing the budget for 2003/04 the provision of food should be restricted further and members should indicate by how much (eg not to provide at Environment Scrutiny Committee and/or Planning Committee.)

 

In 2002/03 the budget for refreshments is £5,420.

7       DATES OF FUTURE MEETINGS

 

The next meeting of the Civic Affairs Committee is scheduled for 19th September.  Other meetings in 2002/03 we suggest take place toward the end of each cycle so that any Constitutional matters which arise during the Scrutiny Committees can be picked up and resolved quickly.

 

Members need to decide what time of day and what day of the week the meetings should take place in the weeks commencing:

24 March 2003

In the event of the fire alarm sounding  (which is a continuous ringing sound), you should pick up your possessions and leave the building by the route you came in. Once clear of the building, you should assemble on the pavement opposite the main entrance to the Guildhall and await further instructions. If your escape route or the assembly area is unsafe, you will be directed to safe areas by a member of Cambridge City Council staff.
